To help ensure the highest quality experiences for all of our guests, our hotel policies listed below are provided for your reference.

We are proud of our Smoke-Free Facility policy for all rooms, as well as indoor and outdoor common spaces. We kindly ask that you to please refrain from smoking of any kind, including vaporizers, while enjoying your stay at Bristol Harbour.

Please note that our facility is a cashless venue and cash is not accepted for payment anywhere at the facility. For your convenience, American Express, MasterCard, Visa and Discover are accepted for all transactions.

Wedding Block Discount

When a couple hosts their wedding at Bristol Harbour, their guests are eligible for a $20 discount per room per night on our standard, Flexible Rate bookings.

 

Wedding guests are also eligible to take advantage of our Prepay & Save Rate. Prepay & Save offers guests a $40 discount per room per night, and is non-cancellable and non-refundable. To take advantage of the Prepay & Save Rate, wedding guests must call the Front Desk at (585) 396-2200 to book a reservation.


 

Policies

Please note that Bristol Harbour is a cashless facility. Accepted forms of payment are Visa, MasterCard, Discover and American Express.

Taxes & Fees
Per NYS law, there is a 7.5% state tax and 3% occupancy tax applied to all reservations. All additional charges will be due to incidentals and/or amenity usage.

Payment Policy
For your convenience, we ask for full payment upon check-in. A valid credit card must be on file for any incidental charges. Upon check-out, your card will be charged for any remaining charges incurred during your stay.

Check-in / Check-out Policy
Check-in time is at 3 pm on the date of your reservation. Check-out time is at 11 am on the day of your departure. Early check-in and/or late check-out requests cannot be guaranteed, but we aim to fulfill requests when possible.

Deposit Policy
All Flexible reservations require a 50% deposit at the time of booking. The 50% deposit is applied towards your total balance due at check in. Reservations made within two days of the arrival date require full payment at the time of booking and are non-refundable.

Cancellation Policy for Flexible Reservations

  • Hotel rooms are fully cancellable or changeable up until 48 hours before your reservation.
  • If you choose to cancel or change your hotel stay more than 48 hours before your reservation, you will receive a deposit refund.
  • Cancellation 48 hours or less before your reservation will result in the forfeit of your deposit and you will be charged for the remaining balance of your reservation.
  • Changes to hotel stay made within 48 hours of your reservation can be accommodated, but you will be responsible for the total cost of the original reservation should your altered itinerary cost less. If the cost of your altered itinerary is more than your original stay, you will be responsible for the higher amount.
  • Guests are responsible for all nights reserved, regardless of actual arrival time and/or departure date.
  • No-shows are charged full price for each night reserved.

Cancellation Policy for Prepay & Save Reservations

  • Prepay & Save reservations are nonrefundable and you will be responsible for the full cost of the room for each night of the reservation.
  • Changes made to your reservation are restricted. You may add on nights to your reservation but not subtract or move dates.
  • Guests are responsible for all nights reserved, regardless of actual arrival time and/or departure date.
  • To cancel your reservation, please call the Front Desk at (585) 396-2200 or email frontdesk@bristolharbour.com.

Cancellation Policy for Wedding and Special Event Room Blocks

  • Hotel rooms booked by individuals as part of a wedding block or special event room block are fully cancellable or changeable up to 30 days before reservation.
  • If you choose to cancel your hotel stay more than 30 days before your reservation, you will receive a deposit refund.
  • Cancellation less than 30 days in advance of your reservation will result in the forfeit of your deposit.
  • Cancellation within 48 hours of your reservation will result in the forfeit of your deposit and you will be charged for the remaining balance of your reservation.
  • Guests are responsible for all nights reserved, regardless of actual arrival and/or departure date.
  • No-shows are charged full price for each night reserved.
  • To cancel your reservation, please call the Front Desk at (585) 396-2200 or email frontdesk@bristolharbour.com.

Please note, due to the nature of hotel room reservations as ‘perishable’ commodities, we are unable to give refunds and/or alter our cancellation/change policy for special circumstances for standard or wedding/special event hotel reservations. As a result, we are unable to grant exceptions for inclement weather, the cancellation of an event, or other unforeseen circumstances.

Smoking / Illegal Drug Use
Bristol Harbour is proud to be a non-smoking and drug free facility. Smoking and electronic cigarettes are strictly prohibited inside all facilities as well as on all porches, balconies, patios, and lawn areas. Smoking is only permitted in our designated outdoor smoking areas. Violators will be charged a $250 fee. Should this result in setting off a fire alarm, you will incur a fine of $1,000. 

For the health and safety of all of our guests, Bristol Harbour reserves the right to remove individuals found to be using, under the influence of, and/or in possession of illegal drugs from the premises without warning or refund.

Pet Policy
For the comfort and safety of our guests, no pets are permitted at Bristol Harbour.

Service Animals
Service Animals as defined by the American Disabilities ACT (ADA) are permitted at Bristol Harbour. Service animals are defined as dogs that are individually trained to do work or perform tasks for people with disabilities. Examples of such work or tasks include guiding people who are blind, alerting people who are deaf, pulling a wheelchair, alerting and protecting a person who is having a seizure, reminding a person with mental illness to take prescribed medications, calming a person with Post Traumatic Stress Disorder (PTSD) during an anxiety attack, or performing other duties. Service animals are working animals, not pets. The work or task a dog has been trained to provide must be directly related to the person’s disability.

Dogs whose sole function is to provide comfort or emotional support do not qualify as service animals under the ADA. Under the ADA, service animals must be harnessed, leashed, or tethered, unless these devices interfere with the service animal’s work or the individual’s disability prevents using these devices. In that case, the individual must maintain control of the animal through voice, signal, or other effective controls.

Under the ADA, service animals are not allowed to be left alone in hotel room. They must remain under the handler’s control at all times.

When it is not obvious what service an animal provides, only limited inquiries are allowed. Staff may ask two questions: (1) is the dog a service animal required because of a disability, and (2) what work or task has the dog been trained to perform.

Gift Cards
Valid Bristol Harbour gift cards may be redeemed toward your hotel stay or used anywhere else in our facility. Please note, gift cards cannot be redeemed for cash. Bristol Harbour is also not responsible for lost or stolen gift cards.

Parking
Free parking is available for all hotel guests. For your convenience, we have two parking lots: one at the Main Entrance and one at the Hotel. Hotel guests are welcome to park in either lot, but we suggest using the Hotel Parking Lot for your convenience packing and unpacking. Parking is at your own discretion and Bristol Harbour is not responsible for any lost, stolen, or damaged items left in your vehicle.

Please note: golf carts, 4-wheelers, snowmobiles, campers, RVs, tow-behind trailers, buses, etc. are not permitted in either of the parking lots. Violators will be towed at the owner’s expense.

Other Restrictions

  • Bristol Harbour reserves the right to restrict reservations to anyone who is under the age of 21. Failure to comply may result in eviction without refund.
  • Maximum occupancy for a room with one king bed is 2 adults. Failure to comply may result in eviction without refund. If the number of people residing in a room exceeds the maximum occupancy, there will be a fine of $100 per extra person. Should there be cots, air mattresses, or other furniture brought into the room, there will be a fine of $250.
  • Maximum occupancy for a room with two queen beds is 4 adults. Failure to comply will result in eviction without refund. If the number of people residing in a room exceeds the maximum occupancy, there will be a fine of $100 per extra person. Should there be cots, air mattresses, or other furniture brought into the room, there will be a fine of $250.
  • The use of air mattresses and/or cots in hotel rooms is strictly prohibited due to fire codes. Failure to comply will result in eviction without refund.
